Not all student travel companies operate the same way. Program prices, hotel quality, educational experiences, group operations, communication, and support can vary significantly from one organization to another.
Before selecting an educational travel company, we encourage every teacher to ask these important questions.
Compare Total Cost—Not Just the Starting Price
Many student travel companies advertise an attractive starting price, but additional costs can quickly add up after enrollment or during the trip with optional activities. Before comparing programs, ask what is actually included and what families will pay beyond the advertised price. A program with a higher upfront price may ultimately cost less and provide significantly greater value when all activities, gratuities, and other expenses are already included.
Ask:
Is the advertised price truly the final price, or should families expect additional costs after enrollment or during the trip?
Are all sightseeing tours, entrance fees, transportation, and daily activities included?
Does the itinerary include optional activities that require additional payment while on tour?
If only part of the group participates in optional activities, what will the remaining students do?
Are gratuities for guides, drivers, restaurants, and hotels included?
Are mandatory service fees or other charges added after enrollment?
Is checked baggage included?
Are students guaranteed their own bed, or is bed sharing required?

Does every student receive their own bed or do they need to share a bed with another student?
If groups are consolidated, could my students room with students from another school?
What meals are included?
Will students experience authentic local restaurants or chain or hotel restaurants?
How is each day structured?
Are mornings, afternoons, and evenings filled with meaningful educational experiences?
How much scheduled free time is included?
Student Experience
Every student travel company invests program dollars differently.
Ask:
Is the itinerary designed around the student experience?
Are students actively engaging with local communities or primarily sightseeing?
How much time is spent on buses compared to meaningful experiences?
Does the itinerary balance education, cultural immersion, adventure, and fun?
Are resources invested in creating a higher quality on-tour experience or primarily in recruiting teachers?
Group Dynamics
Understanding exactly who your students will travel with is important.
Ask:
Will our school travel independently or be combined with other schools?
How are combined groups determined?
Are adult travelers who are not teachers permitted on student programs?
Could our students travel alongside a group made up primarily of adults?
What is the average group size?
How many students are required for a private program?
Student Safety & Conduct
Clear expectations create safer and more successful programs.
Ask:
What is the company's alcohol policy for student travelers? Is there a strict no-alcohol policy for all students, regardless of age or local laws, or are exceptions permitted under certain circumstances?
If exceptions are permitted, can parents or Teacher-Leaders authorize students who are 18 or older to consume beer or wine while on the program?
If multiple schools travel together, how are expectations kept consistent if different schools or groups have different alcohol policies?
Who establishes and enforces curfews?
Who is responsible for enforcing student expectations throughout the program?
How are behavior issues handled, and what is the process if a student violates program rules?
Flights & Travel Logistics
Travel day often determines how smoothly a program begins.
Ask:
Which airlines does the company typically use?
How many layovers should students expect?
Is checked baggage included?
Who assists if flights are delayed or cancelled?
How are missed connections handled?
Teacher Support
Choosing the right student travel company is about more than planning a trip, it's about finding a trusted partner. From your first conversation through your return home, you should have experienced professionals who know your program, understand your goals, and are committed to supporting you, your students, and your families every step of the way.
Ask:
Will I have a dedicated U.S.-based contact who knows my group, my students, and my program from beginning to end?
Will I work with the same person throughout the planning process, or will I be passed between different departments or customer service representatives?
What experience does my primary contact have with educational travel, and how long have they been working with teachers and student groups?
Will my students and families also have access to that same contact person if they have questions before departure?
Will company staff assist with parent information meetings and pre-departure preparation?
Are pre-departure meetings included for teachers, students, and families?
Will our group have a dedicated local Program Director traveling with us throughout the program?
What responsibilities belong to the Teacher-Leader, and what responsibilities are handled by the travel company?
Is support available 24 hours a day while traveling?
If an issue arises during the program, who should I contact, and will I reach someone who already knows my group or a general customer service center?
Parent Communication
Parents deserve clear communication before and during travel.
Ask:
Is there a dedicated company contact before departure?
Will parents speak with someone familiar with our program?
Are parent meetings included?
Will company staff attend those meetings?
How are parents updated during travel?
Educational Value & Student Engagement
Educational travel should be much more than checking landmarks off a list. Ask yourself whether the program is designed as a high-level sightseeing tour, where students spend much of their time traveling by bus and visiting only major attractions with significant free time, or a well-rounded educational experience that combines history, culture, hands-on learning, meaningful local interactions, and opportunities for personal growth.
The most memorable educational travel programs are those where students don't just see a destination…they actively experience it.
Ask:
How does the company create meaningful cultural immersion?
Will students interact with local people and communities?
Are hands-on experiences such as cooking classes, workshops, performances, language lessons, or service opportunities included?
Does the itinerary balance education, history, culture, adventure, and fun?
How much time is spent actively experiencing the destination versus traveling or sightseeing from buses?
How much structured free time is included, and is it purposeful or simply unscheduled time that may encourage additional on-tour spending for optional activities?
Will students leave with a deeper understanding of the destination, or simply a checklist of places they've visited?
Reputation & Transparency
Don't rely solely on testimonials featured on a company's website.
Take time to:
Read Google Reviews.
Check Facebook reviews. If reviews have been disabled or hidden, ask why.
Search online and on social media to see what teachers, parents, and students are saying.
Ask to speak directly with educators who have recently traveled with the company.
Look for consistent, independent feedback from multiple sources.
Support Every Step of the Way
Planning an educational travel program should feel like a partnership, not a transaction. Are marketing materials provided?
Will company staff attend information and pre-departure preparation meetings?
Who answers parent questions?
Is enrollment and payments managed by the company?
Will the company assist with payments, reminders, and travel preparation?
Will families have direct access to company staff throughout the planning process?
Thinking About Switching Student Travel Companies?
Many teachers continue working with the same student travel company simply because it's familiar—or because they aren't aware of all the options available today. That's completely understandable. Were our flights convenient, or did students spend unnecessary time in airports or on long layovers?
Did the restaurants and meals introduce students to authentic local cuisine, or were they simply adequate places to feed the group?
Was each day thoughtfully planned with meaningful educational experiences, or did we spend too much time sightseeing from a bus or filling unscheduled free time?

Did I spend too much time managing tips, optional activities, spending money, and daily budgets instead of enjoying the experience with my students?
